Using my skills with Microsoft Excel, I was able to successfully create a budget system that achieved the following primary objectives:
- Created a means of developing budget that enabled the team developing the budget to show the back-up and reasoning for the requests made. This enabled the voice of all members involved to be heard throughout the process as the budgeted moved to the various level of approval.
- Used predetermined, BSA Accounting practices, including proper account, project, and class codes.
- Educated volunteers and staff proper BSA accounting practices.
- Provided a means of tracking expenses at time of commitment, enabling a current view of the project financials, in recognizing the time delays between ordering and payment processing.
- Provides a means to track detailed information regarding each transaction including:
- Vendor
- Description
- Account
- Cost
- Who ordered the item
- Purchase Order Number
- Item received date
- Invoice Date/Number
- Check request submittal date
- Provides the user with standard check request form.
- Provides accounting department with auto-completed templates for data upload to BSA accounting system.
- Shows live comparison between budget and actual spending figures.
